Data Protection Notice – Corporate Contacts

At Vhi we collect certain information about you in the course of operating our business. This notice sets out details of the information we collect of our business contacts, how we process it and who we share it with. It also explains your rights under data protection law in relation to the processing of your data.

 

Who controls the use of your personal data?

Vhi Group entities, including Vhi Insurance DAC and Vhi Healthcare DAC, whose registered address is Vhi House, Lower Abbey Street, Dublin 1, is the company that controls and is responsible for personal data that is collected as part of your business relationship with us. What personal data is collected?

In order to provide our services to you we may need to process certain personal data in relation to you, which includes some biographical data (including your name, business email address, business phone number and which company you work for) as well as your interactions with us (including your engagement with any email marketing campaigns and your preferences).

 

Why do you process my personal data?

  • For representatives of corporate customers:
  1. We may process your personal data in connection with the general administration of our business. These processes are linked to servicing our business contract with you.
  2. We may send you marketing communications informing you about products and services that are relevant to your business which would also be in the legitimate interest of Vhi. However, you can opt out of marketing communications at any time.
  3. We may process your personal data available on LinkedIn using a functionality from Salesforce to confirm that you are still working for the same company.
  4. With your consent, we will send your details to our supplier who carries out surveys in the marketplace on behalf of Vhi. These surveys are used to gather data about consumer’s perception of our brand, competitors, brands, services, advertising evaluation etc.

 

  • For representatives of prospect corporate customers:
  1. We may process your personal data in connection with the management of tendering documentation and in order to take steps prior to entering into a contract with your company.
  2. We may send you marketing communications informing you about products and services that are aligned with the relationship that we have with you as a business representative and that we expect that will be beneficial for your business to receive, which would also be in the legitimate interest of Vhi. However, you can opt out of marketing communications at any time.

 

  • For Employee Benefit Consultants (EBCs):
  1. We may send communications linked to servicing our business contract with you.
  2. We may send you marketing communications informing you about products and services that are aligned with the relationship that we have with you and that we expect that will be beneficial for you, which would also be in the legitimate interest of Vhi. However, you can opt out of marketing communications at any time.

 

Retention of personal data

Vhi will retain your personal data for no longer than is necessary for the purpose for which we collected it. It is also kept in accordance with any legal requirements that are imposed on us. This means that the retention period for your personal data will vary depending on the type of personal data. For further information about the criteria that we apply to determine retention periods please see below:

  • Statutory and regulatory obligations - As we work in a highly regulated industry, we have certain statutory and regulatory obligations to retain personal data for set periods of time.
  • Business requirements - As we only collect personal data for defined purposes, we assess how long we need to keep personal data for in order to meet our reasonable business purposes.

 

Your rights

You have various rights under data protection law, subject to certain exemptions, in connection with our processing of your personal data:

  • Right to access the data - You have the right to request a copy of the personal data that we hold about you, together with other information about our processing of that personal data.
  • Right to rectification - You have the right to request that any inaccurate data that is held about you is corrected, or if we have incomplete information you may request that we update the information such that it is complete.
  • Right to erasure - You have the right to request us to delete personal data that we hold about you. This is sometimes referred to as the right to be forgotten.
  • Right to restriction of processing or to object to processing - You have the right to request that we no longer process your personal data for particular purposes, or to object to our processing of your personal data for particular purposes.
